RECORDS/INTAKE SUPERVISOR

The Records/Intake Supervisor is responsible for directing the inmate intake records and processes. This position is governed by state and federal laws and agency/institution policy.

Typical Functions:

Supervises a large staff of professional and administrative support personnel by interviewing applicants and recommending for hire, providing training, making work assignments, approving leave, and evaluating the performance of incumbents. Receives all committals to the Department of Correction, reviews commitment documents for accuracy, and assigns counselors to in process inmates. Monitors inmates’ committals and transfers, maintains a waiting list of inmates to be committed, informs law enforcement officials throughout the state of vacancies, and schedules inmates to be committed. Coordinates inmate transfers from diagnostic unit to correctional units, agencies, or other institutions. Screens and approves inmate records to ensure that required documents are present and accurate. May attend classification meetings to assist with screening inmate records for job assignments by answering questions about time served and other documentation from inmate files. Schedules and conducts staff meeting to keep staff abreast of policies and procedures and attends supervisors meetings. Attends parole board meetings and supplies inmates’ records for review by board members for parole. May attend court to oversee inmates’ records during hearing. Performs other duties as assigned.

Knowledge, Abilities, and Skills:

Knowledge of records management systems methods and practices. Knowledge of institutional record keeping systems and procedures. Knowledge of legal procedures related to inmate extradition and correctional unit policies. Ability to plan, organize, and oversee the work of subordinates. Ability to supervise and direct the operations of a comprehensive inmate records system.

Minimum Qualifications:

The formal education equivalent of a bachelor’s degree in general business, records management, or related field; plus two years of experience in inmate records or a related field, including one year of experience in a leadership capacity. Additional requirements determined by the agency for recruiting purposes require review and approval by the Office of Personnel Management. OTHER JOB RELATED EDUCATION AND/OR EXPERIENCE MAY BE SUBSTITUTED FOR ALL OR PART OF THESE BASIC REQUIREMENTS, EXCEPT FOR CERTIFICATION OR LICENSURE REQUIREMENTS, UPON APPROVAL OF THE QUALIFICATIONS REVIEW COMMITTEE.
