MAIL SERVICES SPECIALIST

The Mail Services Specialist is responsible for receipt and distribution of incoming and outgoing mail for processing. This position is governed by state and federal laws and agency/institution policy.

Typical Functions:

Receives and distributes incoming mail and packages. Picks up interoffice mail for transfer and delivers to designated sections. Signs for insured, certified, and express or other mail requiring signature. Receives and prepares outgoing mail or packages; packs books or other packages, weighs and affixes postage according to postal rules and delivers mail for pick-up. Transports mail requiring special handling, such as insured packages, certified, registered mail, bulk mail and other to the post office. Operates postage meter, weighs packages, and assigns postage. Sell stamps to customers and balances cash drawer and stamp inventory for daily sales. Follows proper opening and closing procedures for the mail room and maintains and organizes records. Coordinates repair of any postal equipment as needed. Greets customers and provides assistance or directs them to appropriate party, program, or agency. Screens incoming calls, directs calls, and takes and transmits messages. Performs tasks using standard operating equipment and computer programs to prepare forms, correspondence, reports, and other documents. Maintains monthly spreadsheets detailing postage expenditures for the department and enters cost center codes into computerized accounting system. Performs other duties as assigned.

Knowledge, Abilities, and Skills:

Knowledge of mail handling rules and regulations. Knowledge of computers and record keeping principles. Ability to post and sort mail and operate postage equipment. Ability to maintain postage records and prepare reports of activity. Ability to provide supervision and monitor the work of others.

Minimum Qualifications:

The formal education equivalent of a high school diploma; plus six months of experience in mail services operations. Additional requirements determined by the agency for recruiting purposes require review and approval by the Office of Personnel Management. OTHER JOB RELATED EDUCATION AND/OR EXPERIENCE MAY BE SUBSTITUTED FOR ALL OR PART OF THESE BASIC REQUIREMENTS, EXCEPT FOR CERTIFICATION OR LICENSURE REQUIREMENTS, UPON APPROVAL OF THE QUALIFICATIONS REVIEW COMMITTEE.
