MAIL SERVICES COORDINATOR

The Mail Services Coordinator is responsible for coordinating operations of the assigned mailing services office and staff. This position is governed by state and federal laws and agency/institution policy.

Typical Functions:

Interviews, hires, plans, and directs the activities of subordinate employees by establishing work schedules, assigning specific duties, providing clear, explicit, detailed instructions, and monitoring and reviewing the work on a regular basis, to ensure adherence to instructions, deadlines, proper procedures or protocols, and the delivery of services. Conducts performance evaluations on a timely basis and establishes employee goals and development plans. Processes all required personnel actions following established policies and procedures. Resolves problems encountered by employees and complaints issued by customers. Monitors and maintains equipment and vehicles, including keeping all related records. Coordinates repair of any postal equipment as needed. Approves and monitors employee’s time sheets and attendance. Monitors postage meter and other postage accounts. Maintains monthly spreadsheets detailing postage expenditures for the department. Assists with budget preparation and monitors budget. Performs all duties of the mailroom when needed and ensures the receipt and delivery of all mail, packages and other items. Performs tasks, using standard operating equipment and computer programs, to prepare forms, correspondence, reports and other documents. Performs other duties as assigned.

Knowledge, Abilities, and Skills:

Knowledge of mail handling rules and regulations. Knowledge of computers and record keeping principles. Ability to post and sort mail and operate postage equipment. Ability to maintain postage records and prepare reports of activity. Ability to supervise and monitor the work of others.

Minimum Qualifications:

The formal education equivalent of an high school diploma; plus six months of experience in mail services operations. Additional requirements determined by the agency for recruiting purposes require review and approval by the Office of Personnel Management. OTHER JOB RELATED EDUCATION AND/OR EXPERIENCE MAY BE SUBSTITUTED FOR ALL OR PART OF THESE BASIC REQUIREMENTS, EXCEPT FOR CERTIFICATION OR LICENSURE REQUIREMENTS, UPON APPROVAL OF THE QUALIFICATIONS REVIEW COMMITTEE.
