DOC RECORDS SUPERVISOR

The Arkansas Department of Correction (ADC) / Department of Community Correction (DCC) Records Supervisor is responsible for overseeing the maintenance of inmate records. This position is governed by state and federal laws and agency/institution policy.

Typical Functions:

Supervises a small to medium-sized administrative support personnel by interviewing applicants and recommending for hire, providing training, making work assignments, approving leave, and evaluating the performance of incumbents. Maintains inmate records by reviewing and interpreting new inmate commitment orders, making necessary changes on classifications, computing inmate time, and entering information into AASIS. Examines court orders and prepares forms concerning agreements on fast and speedy trials upon request of inmate and/or other states. Notifies unit administration of dates and names of inmates to be transported to court hearings. Notifies security when inmates are to be transported to court hearings, and runs background checks on inmates through ACIC/NCIC. Informs security when inmate receives additional time and the inmate needs to be fingerprinted for a new fingerprint card. Monitors parole and release dates and performs clearance procedures before releases. Provides information and answers questions regarding inmate records and time as requested by inmates, attorneys, law enforcement officials, elected officials, courts, and inmate families. Instructs staff on new procedures and department policy changes and prepares various forms, correspondence, and reports, as requested. Performs other duties as assigned.

Knowledge, Abilities, and Skills:

Knowledge of record keeping systems. Ability to perform accurate mathematical computations. Ability to maintain manual and computerized records. Ability to understand and prepare oral and written information, such as correspondence and other documents. Ability to plan, organize, and oversee the work of subordinates.

Minimum Qualifications:

The formal education equivalent of a high school diploma; plus one year of college courses with emphasis in general business, business management, or a related field; plus two years of experience in records management or a related field. Additional requirements determined by the agency for recruiting purposes require review and approval by the Office of Personnel Management. OTHER JOB RELATED EDUCATION AND/OR EXPERIENCE MAY BE SUBSTITUTED FOR ALL OR PART OF THESE BASIC REQUIREMENTS, EXCEPT FOR CERTIFICATION OR LICENSURE REQUIREMENTS, UPON APPROVAL OF THE QUALIFICATIONS REVIEW COMMITTEE.
